This position provides administrative support to the Facilities organization and is responsible for daily coordination of activities to ensure efficient and safe operation of the Facilities including answering and directing incoming calls, creating and tracking vendor and guest access badges, ship and receive mail and packages, and assign facility work tickets.  This role also supports the onsite Facility Specialist in other activities as needed.


What you’ll be doing

  • Serves onsite team members and visitors by greeting and welcoming them in a courteous and professional manner. Determines the nature of a visitor’s business and applies corporate security policy.  This can include notifying the department personnel of the visitor’s arrival and/or directs the visitor to the appropriate personnel in a professional and timely manner.
  • Administrate the physical security badge system. Manage visitor labels, contractor badges, and team member badge issuance and replacement. Performs monthly badge audits to ensure security controls are being followed.
  • Performs shipping and receiving functions, including mail sorting and distribution. Follows department procedures for packages and mail management.
  • Assist in terminations and new hire process by activating/deactivating security badges. Ensure access badges have the appropriate information on them before issuing them to the person.
  • Orders supplies for both remote team members and onsite inventory. Restock onsite inventory as needed throughout location.
  • Orders catered meals for departments and individuals per department catering procedures.
  • Assign facilities tickets in ServiceNow to applicable site specialists.


What you will need to be successful

  • Persons must have a sound understanding of basic office procedures. A proficient level of clerical and in person customer service skills as normally obtained through two years of multitasking in a high-volume office environment.
  • The ability to present and maintain a professional appearance and demeanor is required as incumbents’ interface with internal employees across all levels of the organization, vendors, distributors, customers and the general public. The ability to be outgoing and engage in conversation is preferred.
  • Must have the ability to handle multiple tasks in a timely and effective manner. Incumbents should possess good organization skills.
  • Must have the ability to follow oral and written directions as they relate to the functions described.
  • Must have excellent communication and interpersonal skills to answer and direct incoming callers, as well as, greet and direct visitors to their proper destination, as described above.
