The Office Manager/Executive Administrative position works within a professional office environment and is responsible for the overall general office management for the Draper, Utah office and provides direct administrative support to President/CEO and other bank officers as needed.

JOB RESPONSIBILITIES:

  1. Work with the building site manager on various building issues/projects as needed.

  2. Under the direction of the Physical Security Officer manage all security badge responsibilities and access including Nelnet associates, temps, contractors and visitors for the office space as outlined in the Nelnet Bank Physical Security Policy.

  3. Host and support all needed logistics as outside guests/visitors prepare to come to the Draper site for whatever purpose.

  4. Greet guest/visitors and represent the Bank values in all interactions. Help make the space clean, beautiful and welcoming. Manage an incoming phone line and all inbound/outbound mail activity for the office.

  5. Build a rapport with bank board members and manage all preparation and logistics related to board materials and board events.

  6. Support the bank's regulatory examinations with logistics and document management.

  7. Maintain an effective online library that stores and allows easy retrieval of all critical bank documents.

  8. Support the scheduling of meeting rooms and coordinate logistics as needed by bank officers.

  9. Provide charitable contribution and community grant analysis and administration.

  10. Advocate for community engagement through charitable event planning and service hour tracking and administration.

  11. Plan and support employee engagement activities that create a culture aligning with the company and bank's core values.

  12. Coordinate with vendors regarding office equipment repairs and maintenance as needed.

  13. Coordinate seating charts, office remodeling, move requests and space planning. Support the new hire process. Maintain the bank's organizational chart.

  14. Coordinate the ordering/management of office products or services. Both consumable and non-consumable.

  15. Maintain office physical asset inventory.

  16. Maintain a clean, organized, professional and safe workspace for all Nelnet Associates.

  17. Assist with scanning and uploading invoices into the AP system, if needed.

  18. Prepare, support, and edit powerpoint presentations and reports as needed by management.

  19. Support expense report production and travel logistics as needed for bank officers.

  20. Support calendaring and time management of President/CEO.

  21. Assist in achieving bank and departmental goals.

  22. Work on special projects as needed.

EDUCATION:

Bachelor's degree preferred in business or related field with ability to substitute directly related experience.

EXPERIENCE:

5+ years of experience in office management, project management, and/or executive administrative field or related area.

Related experience includes working with vendors, building engineers, purchasing, board/executive support.

Experience in a fast-paced, rapidly evolving and growing environment
